Information we collect

Information you provide

When you submit an enquiry, register interest in an event, communicate with us or otherwise provide information, we may collect:

  • your name and organisation;
  • your email address and telephone or WhatsApp number;
  • your enquiry type, message and communication preferences;
  • information you choose to include in correspondence or documents; and
  • records of our communications with you.

Information collected automatically

Our website, hosting environment and security systems may process limited technical information such as your IP address, browser and device type, requested pages, date and time of access, referring page, diagnostic information and security logs.

Please avoid sending confidential, sensitive or special-category personal information through the general enquiry form unless we have specifically requested it and an appropriate secure method has been agreed.

03

How and why we use information

Responding to enquiries
To answer questions, route enquiries and take steps requested before a possible engagement. We rely on legitimate interests and, where applicable, steps taken at your request before a contract.
Delivering services and events
To administer agreed services, partnerships, meetings and event participation. We rely on performance of a contract, pre-contractual steps and legitimate interests.
Operating and securing the website
To maintain availability, diagnose faults, prevent misuse and protect our systems. We rely on legitimate interests and legal obligations.
Legal and organisational requirements
To maintain appropriate records, establish or defend legal claims and comply with applicable law. We rely on legal obligations and legitimate interests.
Optional communications
Where we invite you to opt in to updates or other optional communications, we rely on your consent. You may withdraw consent at any time.

We do not sell personal information. We will not use information for an incompatible purpose without providing appropriate information and, where required, obtaining consent.

04

Cookies and website technology

The website and its WordPress-based services may use cookies or similar local-storage technologies that are necessary for security, administration, preferences and reliable operation. Logged-in administrators may receive additional WordPress cookies.

Pages may load resources from service providers or link to third-party websites. Embedded third-party content, if introduced, may behave as though you visited the provider directly and may use its own cookies or collect technical information under its own privacy policy.

We will seek consent before using non-essential cookies where applicable law requires it. You may also manage cookies through your browser settings, although blocking necessary technologies may affect site operation.

05

Sharing information and international transfers

We may share relevant personal information only where reasonably necessary with:

  • authorised Messerand personnel and the team responsible for your enquiry;
  • hosting, email, website, security and other technology service providers acting for us;
  • professional advisers, auditors, insurers or authorities where necessary; and
  • event, programme or delivery partners where you have requested an activity involving them or where disclosure is otherwise lawful.

Because Messerand operates internationally, a relevant engagement may involve recipients outside the European Economic Area. Where European data-protection law applies, we use an available lawful transfer mechanism, such as an adequacy decision, appropriate contractual safeguards or another permitted basis.

06

How long we keep information

We retain personal information only for as long as reasonably needed for the purpose for which it was collected, including responding to enquiries, administering an engagement, meeting legal or accounting duties, resolving disputes and protecting legitimate interests.

Routine enquiries that do not develop into an ongoing relationship are ordinarily reviewed for deletion or anonymisation within 24 months of the last meaningful communication. Contract, event, financial or legal records may be retained for longer where required by law or justified by the relationship. Technical logs follow the operational retention schedules of our hosting and security providers.

07

Your data-protection rights

Depending on the circumstances and applicable law, you may have the right to:

  • request access to personal information we hold about you;
  • request correction of inaccurate or incomplete information;
  • request deletion or restriction of processing;
  • object to processing based on legitimate interests or to direct marketing;
  • receive certain information in a portable format;
  • withdraw consent at any time where processing is based on consent; and
  • lodge a complaint with a competent supervisory authority.

To exercise a right, email enquiries@messerand.com. We may need to verify your identity and may ask for information needed to locate the relevant records.

Supervisory authority

In the Netherlands, you may contact the Autoriteit Persoonsgegevens. Information about submitting a complaint is available on the Dutch Data Protection Authority website ↗.

08

Security

We use reasonable organisational and technical measures intended to protect personal information against accidental or unlawful loss, alteration, unauthorised access, disclosure or misuse. No internet transmission or storage system can be guaranteed to be completely secure, so please choose carefully what you send through the website.

09

Children's information

This corporate website and its general enquiry services are not directed to children. We do not knowingly seek personal information from children through the website. If you believe a child has provided information inappropriately, please contact us so we can assess and address it.

10
